Connecting your Microsoft 365 account lets Recruiterflow automatically log emails and calendar events against the matching candidate and contact profiles. No manual logging needed — the sync happens in the background.
What syncs
Emails: Inbound and outbound emails are matched to existing candidate or contact profiles by email address and logged automatically.
Calendar events: Meetings and interview invites are synced and appear on the relevant profile's activity timeline. Updates to events sync as well.
Emails and events with no matching profile in Recruiterflow are ignored — they won't appear anywhere in the system.
How to connect
Go to Settings → Permissions.
Click Connect Microsoft 365 (or Enable Permissions if already listed).
Sign in with your Microsoft 365 credentials and grant the requested permissions.
Once connected, email and calendar sync will activate for your account.
If your organisation manages Microsoft consent centrally
Some IT departments restrict users from granting app permissions individually. If you see a message saying admin approval is required, ask your IT team to enable the admin consent workflow for Recruiterflow. Microsoft's guidance on configuring admin consent is available here.
For information on how your organisation manages user consent to apps in Microsoft 365, refer to Microsoft's user consent documentation.
Things to know
Each team member needs to connect their own Microsoft 365 account individually. Admin-level connections do not sync email for other users.
Historical emails are not back-filled — sync starts from the moment you connect.
Shared mailboxes are not supported by default. Contact cs@recruiterflow.com if you need shared mailbox sync.
If you change your Microsoft 365 password or revoke permissions, the sync will stop. Reconnect via Settings → Permissions.
