How "Last Contacted" Is Calculated in Recruiterflow

Understand exactly what counts as a contact event for the Last Contacted field - which activities update it and which ones don't.

"Last Contacted" shows the most recent date a candidate or contact was reached through email, text, or a qualifying phone call. It's one of the key signals for identifying who needs follow-up and who's recently been touched.

What updates Last Contacted

Last Contacted is updated by any of the following activities:

  • Email — any email sent to or received from the candidate/contact (as long as it's logged in Recruiterflow)

  • Text message — any SMS sent via Recruiterflow

  • Call log — but only when the call outcome is one of:

    • Connected

    • Left Live Message

    • Left Voicemail

What does NOT update Last Contacted

  • Call logs marked as No Answer, Not Interested, or any outcome other than the three listed above

  • Internal notes added to a profile

  • Stage movements

  • Tasks completed

Things to know

  • It doesn't matter who initiated the contact — if a candidate emails you back, that still updates Last Contacted.

  • Last Contacted updates based on the logged date, not necessarily the current date. If you log a call retroactively with an older date, Last Contacted will reflect that older date.

  • You can filter and search by Last Contacted date in Advanced Search to find candidates who haven't been reached in a while.
