When a recipient replies to a campaign email with an out-of-office message, here's what happens.

How Recruiterflow handles out-of-office replies

Recruiterflow's campaigns stop sending to a recipient when they reply β€” but timing determines whether an out-of-office response triggers that stop.

  • Reply arrives within a few minutes of sending: The recipient stays in the campaign and will receive the next touchpoint as scheduled. This is the most common scenario with out-of-office auto-replies.

  • Reply arrives after a few minutes: The recipient is removed from the campaign. This is rare with out-of-office replies, but it can happen depending on the mail server's response time.

Re-adding a removed recipient

If a candidate was removed and you want them back in the campaign:

  1. Open the candidate's profile.

  2. Find the campaign under their profile on the left side and remove it.

  3. Add them back to the campaign from the profile.

Note: Re-added recipients restart from Step 1 of the campaign β€” they won't pick up where they left off.

Things to know

  • Out-of-office replies almost always come in fast enough that the recipient stays in the sequence and continues receiving touchpoints.

  • If you want to avoid re-adding recipients manually, consider pausing the campaign for that candidate until they return instead.
