Connect your email inbox to start getting follow-up drafts automatically after your Notetaker calls.

Prerequisite: a connected inbox

The Follow-up Email Agent only works if you have a Gmail or Outlook inbox connected to Recruiterflow. Without one, the agent doesn't run at all, and it won't even appear as an available action on your call records.

Steps

  1. Go to Settings → Permissions.


  2. Click Connect Inbox and sign in with your Gmail or Outlook account.

  3. Grant the requested permissions so Recruiterflow can send email on your behalf.

  4. Once connected, head to AIRA Agents from the side tab. Search for the follow-up email agent and toggle it on.

Practical example

A recruiter connects their Gmail account on Monday morning. Later that day, they run a candidate call through Notetaker. Because their inbox is now connected, AIRA evaluates the transcript and since the candidate asked a follow-up question that wasn't answered on the call, you will see the agent in the call record. Once triggered, it opens a draft in the recruiter's email compose window within minutes of the call ending.

Things to know

  • If you disconnect your inbox later, the agent stops running for you immediately

  • Connecting your inbox does not retroactively generate follow-ups for past calls, only calls that complete after you connect.

  • This is a per-user setting. Each teammate connects their own inbox individually.
