Manually Triggering a Follow-up Email

How any teammate with call access can trigger a follow-up draft themselves, and how sender attribution works.

You don't have to be the call organiser to send a follow-up — anyone with access to the call record can trigger the Follow-up Email Agent manually.

How it works

If you have access to a call record but weren't the organiser, you can still trigger the Follow-up Email Agent yourself. Open the call record, find the AIRA agent action, and trigger the Follow-up Email Agent manually.

The compose window opens the same way it would automatically — pre-populated with subject, body, To, and CC — except you are set as the sender instead of the call organiser. You're responsible for reviewing and sending the content.

Practical example

A team lead covers for a recruiter who's out sick and needs to follow up on a client call the recruiter ran the day before. The team lead opens the call record, manually triggers the Follow-up Email Agent, reviews the draft, and sends it from their own inbox — the client gets a timely response even though the original organiser is unavailable.

Things to know

  • You need a connected email inbox yourself to manually trigger the agent — the same inbox-connection requirement applies to you, not just the organiser.

  • If neither you nor the organiser has a connected inbox, the Follow-up Email Agent won't appear as an available action at all.
